1. Need for the integration

Companies using an IT service desk (aka help desk) have to track dozens of tickets at one time. Most IT service desks aren’t equipped to handle asset details in a comprehensive manner and thus, cross-referencing items is an endless hassle.

But imagine being able to extract all the asset-relevant details needed to resolve an issue without having to even switch between the browser windows! EZOfficeInventory’s integration with the Jira Service Desk Cloud Instance ensures that all issues are resolved promptly so equipment downtime doesn’t pull down work performance.

2. Complete overview of your issues

Integrating EZOfficeInventory with Jira can enable teams to quickly identify what needs to be worked on, what issues have previously been associated with an item and other details such as Location and AINs.

With this integration, you can:

  • Directly view the assets and reporter linked with an issue in Jira. This will help companies keep track of the assets involved with an issue so they can be fixed in a timely manner. Users can also view the details for the asset and link other assets as well.
  • Track all Jira Issues related to an item directly from the Item Details Page in your EZOfficeInventory Account. A Jira Issues tab on the page references all the issues for the item so EZOfficeInventory users can easily view all relevant issues.

The above helps you iron out operational workflows and cut down repair time. With a complete overview of issues, users can record equipment details, checkout replacement items, and track their issues a lot quicker. Furthermore, you can gauge better insight into an asset’s useful life by referring to its relevant issues.

3. Common workflows

  • An employee notices a broken printer and creates an issue for it. EZOfficeInventory tracks asset details for the printer, and Jira tracks the issue workflow.
  • An on-field technician requires help with operating a forklift. The current user quickly views the issue on Jira and pulls the asset details for the user.
  • A customer requests memory extension for their laptop. The IT Helpdesk looks up the issue on Jira, pulls up the asset details for the said laptop from EZOfficeInventory and identifies the upgrade required. All prior issues related to the laptop are also visible.
  • An engineer wants to understand the maintenance requirements for your HVAC unit. He quickly pulls all the relevant issues for the unit from your EZOfficeInventory Account.
  • An IT manager wants to update a software solution on all company laptops. She creates the issue on Jira and links all company machines to it. Employees in charge will pull up asset details for all laptops from the service desk and carry out the updates. The issue will be tracked via Jira.

4. Installation process

Follow these steps to install and integrate Jira with EZOfficeInventory.

Note: For the integration to work, ensure that the Account Owner in EZOfficeInventory is present as an Admin in Jira. Ensure this is the case before you try integrating the two applications.

4.1. Install the EZOfficeInventory App

You will first need to install the EZOfficeInventory App in your Jira Account. Here is how to set it up:

1. Get the EZOfficeInventory app from the Jira marketplace.

2. Traverse to an issue in your Jira Account. The EZOfficeInventory App will be displayed in the pane on the right. You will see a settings page that will ask for the following:

  • Your EZOfficeInventory Subdomain with the host i.e. “businessxyz.ezofficeinventory.com”.
  • Your ‘Secret key’. Get it from EZOfficeInventory Settings → Add Ons → API Integration. It will look like ““de2fce1ad683976d2f515d0876027994””.

4.2. Enable the Jira integration

Now we need to enable Jira from your EZOfficeInventory Account.

1. Log in to your EZOfficeInventory Account to enable the Jira Integration Add On. Go to Settings → Add Ons → Integrate Jira. Press the ‘Connect to Jira’ button.

2. This action will require integration permissions that are provided via Atlassian (see image below). For this purpose, you will be redirected to Atlassian.

3. Select your Atlassian Account from the ‘Authorize for’ dropdown. Click ‘Accept’ and allow access to EZOfficeInventory.

That’s it! The integration is complete. You will now be taken back to EZOfficeInventory.

4.3. Choose asset attributes

You can also choose the Asset Attributes that you want to display over Jira. In order to do this, go to Settings –> Add Ons –> Integrate Jira from your EZOfficeInventory Account. Click ‘Choose Attributes’.

A new dialog will appear that will prompt you to make your attribute selections. Once you’re done, click ‘Save this view’.

5. How the Integration Works

Open a Jira Issue and you’ll find the EZOfficeInventory App on the right. Click on ‘Open EZOfficeInventory’ to expand the app window. With every issue, you will see:

  • The reporter and a link to their EZOfficeInventory profile
  • A link to the assets checkout out to said reporter
  • A link to the assets reserved by said reporter
  • All items checked out to the reporter with their attributes.

All the items checked out to the concerned reporter will populate the app window. Based on the issue description, the current user will scroll through the list and link the relevant items to it.

You can also link other items with the issue that aren’t checked out to the reporter. At the bottom of the app window, there is a ‘Link other assets to this issue’ button.

You can use this feature to look up items by asset name, asset# or AIN.

5.2. Navigate to the Item Details Page

All assets on this right-side pane are clickable. Clicking on the asset name in Jira will open a tab in EZOfficeInventory – the Item Details Page.

From the Item Details Page in EZOfficeInventory, scroll down and you’ll see a tab for all the relevant Jira Issues.

6. Troubleshooting Errors

Error 1

The reporter <your email address> doesn’t exist under Members in EZOfficeInventory. Make sure EZOfficeInventory has the correct email address

Solution: The reporter must exist in EZOfficeinventoy and Jira with the same email address.

Error 2

We couldn’t find your profile <your email address>. Make sure you have the correct email address under members in EZOfficeInventory.

Solution: Jira users should exist as members in EZOfficeInventory for them to be able to report an issue.

Error 3

There was a problem accessing data.

Solution: This usually happens when the subdomain for the account is changed in EZOfficeInventory or a custom domain is added. To fix, go to your Jira Account and update the settings in the EZOfficeInventory App.

Note: Existing data will NOT be impacted by the resetting of the connection.
